Safeguarding · KCSIE part 5
Shipped · v1.3.2Single Central Record
The school year, watching itself.
Every statutory check on every member of staff, in one matrix that flags itself before it lapses. Audit-ready exports for inspection day. No spreadsheet, no inbox rule, no last-minute panic. KCSIE-mandated columns out of the box; bulk import from your existing record on day one.
Three things FreshService can't match
Built for trusts, not retrofitted from enterprise.
Auto-flagging on expiry
Every check has a horizon: 90 / 60 / 30 / expired. Cells flip green → amber → red on schedule. No spreadsheet to maintain, no inbox rule to write, no lapse to discover at inspection.
One record, every member of staff
The Single Central Record itself: staff in scope, expired and expiring checks, and per-person status at a glance — filter by school, type or status. No parallel spreadsheet.
Built around KCSIE part 5, not retrofitted
DBS, prohibition, Section 128, right-to-work, KCSIE-read confirmation, overseas checks where relevant. Each column maps to the statutory clause. Generic HRIS systems bolt this on; we started here.

How the flagging works
Every check carries an expiry. The cell changes colour on a schedule you don't have to watch — and the staff member is chased before it lapses, not after.
In date
More than 90 days to expiry. Green — nothing to do.
Renewal due
Inside the 90 / 60 / 30-day window. Amber — staff are chased automatically.
Expired
The day it lapses it turns red and surfaces on the dashboard and the inspector export.
